1. Introduction

Welcome to UltraBrainRace. These Terms & Conditions govern your access to our website, registration for our races and events, and participation in activities organised by UltraBrainRace (“we,” “our,” or “us”).

By accessing our website, registering for an event, or participating in an UltraBrainRace activity, you agree to these Terms & Conditions and any event-specific rules communicated to you.

If you do not agree to these terms, please do not register for or participate in our events.

2. Registration and Eligibility

  • Participants must provide accurate, complete, and up-to-date information during registration.

  • Participants must meet the minimum age, fitness, qualification, and other eligibility requirements specified for their chosen event.

  • Registration is considered confirmed only after the required registration process and payment have been completed and confirmation has been issued.

  • Each registration is personal and non-transferable unless an official transfer is expressly permitted by UltraBrainRace.

  • We reserve the right to verify participant details and request supporting documents where reasonably necessary.

  • Providing false information, falsifying documents, or attempting to register under another person's identity may result in cancellation of registration.

3. Registration Fees and Payments

  • All applicable registration fees will be displayed during the registration process.

  • Participants are responsible for paying the applicable fees and any clearly disclosed taxes or payment-processing charges.

  • Registrations are subject to successful payment verification.

  • Participants should review their selected race category, distance, personal details, and registration information before completing payment.

  • Any applicable refund, cancellation, or transfer will be governed by the event-specific policy published at the time of registration, subject to applicable law.

4. Cancellation, Refunds, and Transfers

UltraBrainRace may establish separate cancellation, refund, deferral, and transfer rules for individual events.

  • Participants must review the relevant event's refund and cancellation policy before registering.

  • Refund eligibility, deadlines, administrative deductions, and processing timelines will be communicated in the applicable event policy.

  • Registration fees may be non-refundable where clearly stated before purchase and permitted by applicable law.

  • Requests to transfer a registration, change a race category, or defer participation require approval and are subject to availability and event rules.

  • If an event is cancelled, postponed, rescheduled, or materially changed, UltraBrainRace will communicate the available options in accordance with the applicable event policy and law.

Nothing in these Terms & Conditions excludes any consumer rights or refund obligations that cannot legally be excluded.

5. Race Rules and Participant Conduct

All participants must comply with the official race rules, instructions issued by race officials, and applicable event-specific requirements.

Participants agree to:

  • Follow the designated race route, checkpoints, timing procedures, and cut-off times.

  • Wear the required race bib or identification and display it as instructed.

  • Follow instructions from race officials, medical teams, volunteers, and authorised event personnel.

  • Treat other participants, staff, volunteers, local communities, and spectators respectfully.

  • Avoid cheating, unauthorised assistance, course shortcuts, bib transfers, or other forms of misconduct.

  • Respect local laws, the environment, and any restrictions applicable to the race location.

  • Carry mandatory equipment and supplies where required by the event rules.

Failure to comply may result in a warning, time penalty, disqualification, removal from the course, or restriction from future events, depending on the circumstances.

6. Health, Fitness, and Medical Safety

Participation in endurance races may involve strenuous physical activity, challenging terrain, adverse weather, altitude, dehydration, fatigue, falls, and other risks.

By registering, participants acknowledge that:

  • They are responsible for assessing their physical fitness and suitability for the selected event.

  • They should seek appropriate medical advice before participating if they have concerns about their ability to safely complete the race.

  • They must disclose relevant health or safety information when reasonably required through the event's medical or safety process.

  • They must follow mandatory medical clearance requirements where applicable.

  • They must immediately inform event personnel if they experience a medical emergency or observe a serious safety concern.

  • They must follow instructions from medical personnel, including instructions to stop racing or accept medical assistance.

UltraBrainRace may refuse participation, withdraw a participant from the course, or prevent a participant from continuing where reasonably necessary for health, safety, or compliance with event rules.

7. Assumption of Risk

Participants acknowledge that endurance racing involves inherent risks, including physical injury, illness, exhaustion, dehydration, environmental exposure, accidents, interactions with other participants, and risks arising from natural terrain or changing weather conditions.

Participants should carefully assess these risks before registering.

To the extent permitted by applicable law, participants accept the inherent risks associated with voluntary participation in the event. Nothing in these Terms & Conditions excludes liability that cannot legally be excluded.

8. Event Changes, Postponement, and Force Majeure

UltraBrainRace will make reasonable efforts to conduct events as advertised. However, circumstances beyond our reasonable control may require changes to an event's route, schedule, location, distance, facilities, or operating arrangements.

Such circumstances may include severe weather, natural disasters, government restrictions, public health emergencies, security concerns, infrastructure issues, or other safety-related events.

Where reasonably necessary, UltraBrainRace may postpone, reschedule, modify, suspend, or cancel an event to protect participants, staff, volunteers, and the public.

Any refund, credit, deferral, or alternative arrangement will be determined under the applicable event policy and applicable law. We will communicate material changes through our official communication channels wherever reasonably practicable.

9. Timing, Rankings, and Race Results

  • Race timing and results may be managed by UltraBrainRace or an appointed timing provider.

  • Results will be determined according to the official rules, timing system, and race category requirements.

  • Provisional results may be subject to verification, review, or correction.

  • Participants must report suspected timing errors or result discrepancies within the deadline specified by the event.

  • UltraBrainRace reserves the right to amend results, apply penalties, or disqualify participants where supported by the rules and relevant evidence.

  • Final rankings and awards are subject to official verification.
